Studio Manager
Full time position, based in our office in Barcelona
Who are we?
OCTAEVO is an international design company creating uplifting homewares and gifts, infused with Mediterranean philosophy. We create all our products in-house at our office located in the Poble Nou district in Barcelona, produce them with trusted suppliers and distribute worldwide.
Contract and Hours: Permanent, 6-month trial, 9-18 hours
Reports to: Creative Director
Job Description: Octaevo is seeking a dynamic and highly organized Studio Manager to oversee the daily operations of our design studio in Barcelona. The Studio Manager will play a crucial role in ensuring the smooth operation of the studio, supporting the creative team, and maintaining an inspiring and efficient work environment. Responsibilities:
Studio Operations
- Manage the studio's daily operations, including scheduling coordination, supply management, and ensuring cleanliness and organization of the workspace.
- Maintain studio equipment and coordinate with external vendors for repairs and maintenance.
Team Support
- Act as a liaison between different departments within the company, facilitating communication and collaboration.
- Support the team by assisting with administrative tasks, scheduling meetings, and coordinating project deadlines.
- Assist in optimizing workflows and implementing efficient processes to enhance productivity and creativity.
Administrative Tasks
- Handle administrative tasks such as expense management and control, invoice processing with accounting, and maintenance of studio records.
- Prepare reports and presentations as needed, supervise and lead internal projects.
- Research and seek out new service providers needed for the studio.
- Negotiate terms and conditions with vendors and review contracts to ensure favorable conditions.
Trade Show and Event Coordination
- Coordinate participation and attend trade shows, industry events, or other promotional activities.
- Organize logistics related to trade show participation, including booth management, transportation, and promotional materials.
Human Resources Management
- Participate in the hiring process, including posting job openings, reviewing resumes, and coordinating interviews.
- Manage the onboarding of new employees, including preparing necessary documentation and organizing orientation.
- Supervise employee professional development and well-being, providing support and resources as needed.
Health and Safety
- Implement and enforce health and safety protocols to ensure a safe working environment for all studio personnel.
- Stay informed about relevant regulations and guidelines and update studio policies accordingly. Qualifications:
- Bachelor's degree in Business Administration or related field preferred.
- Proven experience in a similar role, preferably within a creative or design environment.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong communication and interpersonal skills, with the ability to work collaboratively and build relationships between teams.
- Basic knowledge of human resources.
- Proficiency in office software and project management tools.
- Fluency in English and Spanish; additional languages are an advantage.
- Passion for design and creativity.
